🇬🇧 RULES - MEDIC DE 10 KM - May 11, 2025

1. GENERAL PROVISIONS

1.1. These regulations apply to participants in the 10 KM MEDIC - CHARITABLE RACE event.

1.2. The organizers of the event are: the Organization of Medical Students, Sports Club “Sporting UMF”, under the auspices of the "Iuliu Hațieganu" University of Medicine and Pharmacy in Cluj-Napoca (UMFIH).

1.3. The events within the event are open to individuals affiliated with the Ministry of Health, teaching staff, and students of UMF "Iuliu Hatieganu," respecting the conditions imposed by the organizers.

- participation in the event is conditional upon payment of the participation fee imposed by the organizers;

- for optimal competition conditions, it is recommended (but not mandatory) that relay teams be mixed (girls and boys);

- registration for the children's race is free, but it is necessary for one of the parents to be registered for either the relay or the individual 10 km race;

- the organizers may invite other categories of individuals who do not fall within the above-mentioned categories (sponsors, athletes, public figures, etc.).

1.4. Participants' registration is done through online registration.

- Registration confirmation will be made after payment of the registration fee.

- In the case of children, upon kit collection, registration must be reconfirmed, and the registration form must be signed by the accompanying parent.

1.5. By signing the registration form or checking the corresponding box during online registration, each participant:

- declares that they accept and understand the Terms and Conditions of participation in the 10 KM MEDIC - CHARITABLE RACE, organized on May 11, 2025.

- declares that they have read and agree to the Privacy Policy regarding the processing by the organizers of personal data, including the processing of photo and video materials used for the purpose of promoting the event.

- declares under their own responsibility that the completed data is true and that the person is physically fit to participate in the race according to the conditions of this Regulation.

1.6. The organizers reserve the right to refuse registration and participation in the race to a participant for objective reasons.

1.7. The competition will take place on May 11, 2025. Online registrations are accepted until May 5, 2024, at 23:00, or upon reaching the maximum number of participants.

1.8. The organizers reserve the right to modify this Regulation, depending on the changes in legislation, including by introducing additional restrictions regarding registration and participation in the event if the situation existing on the date of the event so requires.

2. DECLARATION OF LIABILITY

2.1. Participation in the 10 KM MEDIC - CHARITABLE RACE is done at one's own risk, with full knowledge of the ability to participate in the event, physical and mental health condition.

2.2. By completing and submitting the registration form, the person completing the form declares under their own responsibility and assumes that the data provided is true.

2.3. If the registration form is completed by someone other than the participant in the event, the person completing and submitting the registration form assumes responsibility for the accuracy of the data provided and also full responsibility for obtaining the participant's consent to their registration for the event.

2.4. By completing and submitting the registration form and accepting the Competition Regulation, the participant assumes responsibility for being clinically healthy and not suffering from any condition that would prohibit them, in any way, from participating in the event or endanger their health during the event and assumes full responsibility regarding participation in the 10 KM MEDIC - CHARITABLE RACE.

2.5. By completing and submitting the registration form and accepting the Regulation, the event participant declares under their own responsibility that they are in proper condition to participate in an athletics competition, such as the 10 KM MEDIC - CHARITABLE RACE, so that the organizers, as well as anyone associated with them (sponsors, partners, employees, authorities, officials, volunteers, etc.), are exempt from any liability regarding any requests from participants and/or successors, of any nature, for any incidents, injuries, illness, death, or any other medical problems that may arise during the competition or as a result of participation in the event.

2.6. By completing and submitting the registration form and accepting the Regulation, the participant in the event declares under their own responsibility that, in the event that events as described above occur during the competition, they will bear all expenses incurred for transportation to a specialized medical unit and/or necessary medical treatment and declare that they waive any claim in connection with such transportation and/or treatment (including emergency), delays, or deficiencies related to it.

2.7. If the registration form is completed and submitted by someone other than the participant in the event, by completing and submitting the form, it is considered that the participant in the event has consented to the registration and has accepted that they meet all the participation conditions provided in this section and this Regulation.

2.8. Each participant is responsible for their own security and safety. The organizers, partners, sponsors, volunteers, and staff involved in organizing the event are not, under any circumstances, responsible for any injuries, accidents, deaths, or damages of any kind that may occur during or as a result of participation in the event, their liability being excluded.

2.9. Participants are recommended to have accident insurance valid for sports competitions.

2.10. Participants are obliged to listen to and respect the instructions/guidelines of the organizers and race personnel. By completing and submitting the registration form and accepting the Regulation, the event participant attests that they have understood and accepted the measures imposed by the organizers for the conduct of the event and accept the risks of participating in a mass event.

3. RACE KIT

3.1. The race kit is collected by participants, or by the team captain/designated member, on the days preceding the event, the schedule and location being announced upon the completion of the registration period.

4. CATEGORIES AND CLASSIFICATION

4.1. At the end of the event, no cash prizes are awarded, only medals/diplomas to the teams that rank at the top of the standings.

4.2. The validation of the classification will be done within 2 weeks after the end of the event, after resolving objections and force majeure cases.

5. COMPETITION PROCEDURES

5.1. The race number must be pinned to the front of the shirt and must be visible throughout the race. In case of withdrawal, the number must be handed over at the control point where withdrawal from the race is announced.

5.2. The timing chip is attached according to the instructions received from the organizers, when picking up the kit or before the start of the race.

5.3. The start will be given on the date and time set by the organizers and announced on the official competition page. The start zone locations will be published on the official event page.

5.4. Withdrawal from the race. Abandonment. Exclusion

a. Withdrawal from the race for reasons other than an accident can only be done at the control points along the route or in the start/finish area. The participant who can no longer or does not wish to continue the race is obliged to move

to the nearest control point or to the start/finish point, where they will hand over the race number and will be considered withdrawn.

b. Participants who move slower must be careful to make way for those coming from behind, those who wish and can overtake them.

c. Organizers may prohibit the start or continuation of the race for any participant if they appear to be drunk or under the influence of hallucinogenic substances, if they show signs of physical or mental weakness or exhaustion.

5.5. Access to the event area

To participate in the event and enter the designated area, participants acknowledge and expressly consent that the organizers may request, through their own staff or security personnel, body checks of individuals and their personal belongings. In case of refusal of such checks, the person who refuses will not be allowed to enter or continue to have access to the event area.

6. ENVIRONMENTAL PROTECTION

6.1. Throwing waste of any kind anywhere on the route, outside of designated areas or at feeding points, is strictly prohibited.

6.2. Those who do not respect this rule will be disqualified.

7. MANDATORY EQUIPMENT. CONDUCT

7.1. The following equipment is mandatory for each participant present at the start: running shoes, sports outfit (pants/skirt/leggings, t-shirt/tank top), race number (provided by the organizers).

7.2. Participants will behave in a sportsmanlike manner and show fair play towards other runners, volunteers, local authorities' representatives, and the public.

8. COMPLAINTS/DISPUTES

8.1. Complaints and disputes must be submitted in writing to the competition committee within 1 hour of the official closing of the race.

9. ROUTE. ROUTE MODIFICATION. OTHER DECISIONS REGARDING THE CONDUCT OF THE RACE

9.1. The route consists of the pedestrian plateau in the area of the "Horia Demian" Sports Hall - pedestrian alley on the right bank of the Someș River - Rozelor Bridge - pedestrian alley on the left bank of the Someș River - Garibaldi Bridge, on the sidewalk - Splaiul Independenței Street, on the sidewalk - pedestrian plateau in the area of the "Horia Demian" Sports Hall. Each team member covers approximately 2 (two) km (one complete loop of the route) and passes the baton to the next teammate/runs individually for 10 km. The children's race takes place after the adult events, and the distance covered by them will be approximately 800m.

9.2. Organizers may modify the route at any time or cancel/stop the competition if it cannot be conducted safely.

9.3. Organizers reserve the right to make changes to the information posted on the official event page, the Regulation, or the schedule. These changes will be communicated to participants at least 7 (seven) days before the race, in the case of information posted on the official competition page, or at the latest upon picking up the race numbers for information regarding the race schedule.

9.4. The applicable Regulation is the one in force on the date of the event. Each participant is required to check and comply with its contents.

10. RIGHT TO IMAGE

10.1. The event may be recorded for public communication/information purposes, in any manner (especially through photographs, video recordings, etc.), in any existing or future medium, for any purpose, including advertising and commercial purposes. Therefore, each participant explicitly grants the organizers, persons authorized by the organizers, and beneficiaries (especially commercial partners) permission to record and reproduce, on any type of support, in any format, respectively to reproduce and represent, without any remuneration, of any nature, the name, voice, image, and information regarding the sporting activity carried out in the context of the event, for a duration not exceeding 20 years from the date thereof.

10.2. The participant expressly authorizes the organizers to grant sublicenses to partners for the use of the image for commercial and advertising purposes. Each participant grants full and irrevocable permission to the organizers, beneficiaries (especially commercial partners), for the purpose of conducting advertising campaigns, promotion, or for sale:

- to make any modifications, additions, or deletions they consider necessary to use their image, under the conditions defined below;

- to include or combine their image with any signatures, expressions, slogans, captions, trademarks, distinctive signs, legal information, visual effects, and, generally, in any use in communication materials in which they are used.

10.3. The participant guarantees that their image is not subject to an exclusivity contract. It is expressly forbidden for the organizers, their beneficiaries, and authorized persons to use the name of a participant, voice, or image in any format with a pornographic, racist, or xenophobic character and, moreover, in general, any use that affects the dignity of the participant.

10.4. Participants are informed and unconditionally accept that their image, recorded by representatives of the organizers, may be accessible on the official event page and on the Facebook social networking platform. Regarding the official page and the Facebook social networking platform, participants understand and agree that any Internet user can identify them by name, surname, and/or race number.

10.5. Any communication of images or videos from the event recorded by a participant during their participation in the event will be used exclusively for personal use and cannot be used under any circumstances for commercial promotions or for any other advertising purpose outside the event, without the express consent of the organizers.

11. PROCESSING OF PERSONAL DATA

11.1. Event participants agree to provide the organizers permission to collect and process their personal data (name, surname, email address, gender, date of birth, nationality, mobile phone number).

11.2. Data is collected when the participant registers for the event, through the registration platform. Personal data provided by each participant through the registration form will be kept in electronic format. Providing personal data is mandatory for registering participants in the event and their proper organization and is necessary for processing cross participation fees. Personal race results will also be recorded, kept, processed, and published to establish the ranking, archive, and personalized printing of results on diplomas.

11.3. The requested data is essential for organizing

the event. Therefore, if the data subject refuses to provide this data, the organizers will refuse registration for the race. By registering, the participant consents to the recording, processing, and use of personal data for the purposes described in this chapter.

11.4. The personal data of event participants will be deleted within 90 days after the end of the event.

11.5. The organizers will not disclose the personal data of participants to any third party, except when there is a legal obligation in this regard, at the request of authorized authorities (for example: first aid teams, Police, National Anti-Doping Agency, etc.) or when we believe it is necessary to investigate, prevent, or take action against potentially illegal situations, suspicions of fraud, or emergency situations that endanger the physical integrity or security of any person.

11.6. The organizers have implemented reasonable technical and organizational measures to ensure the security of your personal data against accidental loss, access, use, destruction, or unauthorized disclosure.

11.7. The language of this Regulation is Romanian. In case of differences in interpretation between the language versions of this Regulation, the Romanian version shall prevail.
